Context
We are Halcyon Logistics, a freight forwarder quoting air, ocean and road freight from Europe. Spot quote requests come by email and through the web form. Each request is read here on arrival. Complete requests go straight to the pricing desk. For the rest, code writes one reply asking for every missing detail, and a person checks it before it goes. The questions ask only whether a detail is present, never what it is; the pricing desk reads the values. Code decides which details each mode needs. What pricing needs, by mode: - Air: origin and destination, number of pieces, gross weight, dimensions of each piece, the goods, ready date. - Ocean, full container: origin and destination, number and type of containers, the goods, approximate weight, ready date. - Ocean, shared container: origin and destination, number of pieces, gross weight, total volume or dimensions, the goods, ready date. - Road: pickup and delivery places, number and type of pieces or pallets, gross weight, dimensions or loading metres for part loads, the goods, ready date. - Every mode: the service scope (an Incoterm, or which legs we cover: pickup, export customs, main transport, import customs, delivery), and any dangerous goods, temperature control, oversize pieces or other special handling. The dangerous goods desk checks every mention.

Count requests for a rate, a quote, a price or a cost to move goods, including a request for options. A booking of an agreed rate, a status question or an invoice query is not a quote request. Yes: The sender asks for a price for a shipment. No: The sender asks for something else.
Which transport mode does the email concern? Choice
Judge from the words, equipment and references in the request: a 40HC or 20DV container is ocean full container load, "by air" or "air freight" is air, pallets on a truck are road.
Does the quote request say where the goods start from, at least a city or port? Yes / No
Count a city, a port, an airport or an address. A country alone does not count. Yes: A place of pickup or origin is given, at least a city or port. No: No origin is given, or only a country.
Does the quote request say where the goods must go, at least a city or port? Yes / No
Count a city, a port, an airport or an address. A country alone does not count. Yes: A place of delivery or destination is given, at least a city or port. No: No destination is given, or only a country.
Does the quote request say how many pieces, pallets, crates or containers there are? Yes / No
Count a number of packages of any kind, written as digits or words. Yes: The request says how many pieces or containers there are. No: The request does not say how many.
Does the quote request give a weight for the goods? Yes / No
Count a total or a per-piece weight, exact or approximate, in any unit. Do not check or convert the number. Yes: A weight is given. No: No weight is given.
Does the quote request give the size of the pieces or the total volume? Yes / No
Count length, width and height, a standard pallet size such as "euro pallets", a volume in cubic metres, or loading metres. A container type alone does not count here. Yes: Sizes or a volume are given. No: No sizes or volume are given.
Does the quote request say what the goods are? Yes / No
Count any description of the goods, such as "ceramic tiles" or "machine spare parts". "Goods", "cargo", "freight" or "general cargo" on their own do not count. Yes: The request says what the goods are. No: The request does not say what the goods are.
Does the quote request say when the goods are ready or when they must arrive? Yes / No
Count a date, a day or a relative time such as "next Monday" or "early next month". "Urgent" or "as soon as possible" alone does not count. Do not work out the date. Yes: A ready date or a required arrival time is given. No: Neither is given.
Does the quote request give an Incoterm or say which legs of the move we should cover? Yes / No
Count an Incoterm such as EXW, FCA, FOB, DAP or DDP, or words that say which legs are wanted: pickup, customs clearance, port to port, door to door, delivery. Yes: An Incoterm or the legs to cover are given. No: Neither is given.
Does the email mention dangerous or hazardous goods? Yes / No
Count a UN number, a hazard class, "DG", "hazardous", "IMO", a safety data sheet, or goods often dangerous in transport such as lithium batteries, aerosols, paint, fuel or gas. This only copies the dangerous goods desk; it never clears anything. Yes: The email mentions dangerous goods or goods often dangerous in transport. No: The email mentions none.
Does the quote request mention temperature control, oversize or very heavy pieces, fragile or high-value goods, or other special handling? Yes / No
Dangerous goods have their own question and do not count here. Urgency alone is not special handling. Yes: The request mentions at least one kind of special handling. No: The request mentions none.
